Check Refund

The Check Refund page is where you can go to issue a physical reimbursement check to a customer or employee for either expenses or overpayment. You would want to use this refund model if a customer wanted a check back for their overpayment, or if an employee purchased something with their own money and wanted reimbursement.

In order to navigate to this page, you can follow this path:

  • Click on the Cash Out tab from the Dashboard.
  • From this menu, click on the Checks option; this will take you to the All Checks page.
  • Once you have gotten to All Checks, you will click the Check Refund Related Link on the top of that page.

Now that you have made it to the Check Refund page, there are two different options for the reimbursement process: Reimbursement for Expenses & Reimbursement for Overpayment.

Reimbursement for Expenses

  • You will first need to select an employee to create the reimbursement for.
  • Next, choose a cash account for these funds to be pulled from.
  • Enter in the next check number from the check stock that you ordered through our application. *For more information on the check ordering process, please click here.
  • Type in the memo that you would like to show up on the check.
  • Choose a category to code this check to, as well as an amount. You can add as many categories and amount combinations as you need for your budgeting, as long as the total amount adds up to the total amount of the reimbursement.
  • After you have done this, you can click the [Preview Check] button to see what the check will look like when it's printed. If the check looks correct, you can then click the [Submit Refund] button to create this refund check.
  • At this point, you're basically all done, besides going to the All Checks page to print this out!

Reimbursement for Overpayment

  • You will first need to select a customer to create the reimbursement for.
  • Next, choose a cash account for these funds to be pulled from.
  • Enter in the next check number from the check stock that you ordered through our application. *For more information on the check ordering process, please click here.
  • Type in the memo that you would like to show up on the check.
  • Choose an amount to for this reimbursement. Since this is for an overpayment on a customer's account, you can only create a check up to the total amount of the overpayment on their account. You cannot issue the check for more than the total amount of unapplied funds on that customer's account.  
  • After you have done this, you can click the [Preview Check] button to see what the check will look like when it's printed. If the check looks correct, you can then click the [Submit Refund] button to create this refund check.
  • At this point, you're basically all done, besides going to the All Checks page to print this out!
